BOOKING & CANCELLATION POLICY

At La Belle Cosmetics, every appointment is set aside with care. 

To ensure a calm, seamless experience for all patients, we ask that you review the following terms before booking. These terms help us protect the time allocated to you, prepare appropriately for your visit, and maintain fairness across our appointment schedule. 

 

1. Making a Booking & Booking Fee 

Appointments can be made online or by contacting our team on (02) 8859 5300. 

A $50 booking fee is required at the time of booking to secure all appointments, including consultations and treatments. 

The booking fee is redeemable towards eligible treatment on the day of your appointment. Where the required notice periods and booking terms are met, the booking fee may also be transferred towards a future appointment for up to six months from the original payment date. 

For online bookings, your card details may be securely captured at the time of booking and the booking fee will be processed within 1-2 business days. If your booking fee cannot be processed, our team will attempt to contact you. If we are unable to reach you, your appointment may be released. 

Some specialised or extended treatments may require a higher booking fee due to the time, resources, and practitioner allocation required. 

 

2. Required Communication & Pre-Screening 

A pre-screening call may be required before selected appointments to confirm treatment suitability. 

Please ensure your contact details are entered correctly and that you are available to speak with our team prior to your visit. 

If we are unable to complete the required pre-screening before your appointment, your appointment may be released, rescheduled, or cancelled. 

If you attend an appointment without completing the required pre-screening questionnaire and are deemed unsuitable for treatment on the day, your booking fee may be forfeited or retained as the consultation fee. 

Appointment reminders are sent by SMS and email. Appointments that remain unconfirmed within 48 hours of the scheduled time may be released. 

 

3. Cancellations, Rescheduling & No-Shows 

We kindly ask that a minimum of 48 hours’ notice is provided for any cancellation or reschedule. 

Cancellations or reschedules made within 48 hours of the appointment time will result in forfeiture of the booking fee. 

Failure to attend your appointment without notice will also result in forfeiture of the booking fee. 

If more than 48 hours’ notice is provided, your booking fee may be transferred to a future appointment for up to six months from the original payment date. 

Repeated short-notice cancellations, reschedules, or no-shows may require full pre-payment for future appointments. 

 

4. Late Arrivals 

We ask that you arrive on time for your appointment to allow your practitioner to complete your consultation and treatment without impacting the next patient. 

Patients arriving more than 10 minutes late may have their appointment shortened, rescheduled, or cancelled. 

Where an appointment is cancelled or unable to proceed due to late arrival, incomplete forms, or insufficient time remaining to perform the treatment safely, the booking fee may be forfeited. 

Please contact us as soon as possible if you are running late. While we will always do our best to accommodate you, additional time cannot be guaranteed. 

 

5. Consultations & Treatment Suitability 

All new patients are required to attend a consultation prior to treatment. 

Existing patients may also require a consultation when booking a treatment they have not previously received with us, or when treating a new concern or area. 

Your consultation allows our practitioners to understand your goals, assess suitability, discuss available options, and create an appropriate treatment plan. 

Treatment suitability is determined by the practitioner at the time of consultation. La Belle Cosmetics reserves the right to decline or defer treatment if, in the practitioner’s professional opinion, treatment is not appropriate or suitable on the day. 

This may include, but is not limited to, medical contraindications, treatment timing, recent procedures, pregnancy or breastfeeding, unrealistic expectations, incomplete medical history, incomplete consent forms, incomplete pre-screening, or failure to follow pre-treatment requirements. 

If you book a consultation only, your $50 booking fee remains redeemable towards treatment for up to six months. If no treatment is undertaken within this period, the booking fee will be retained as the consultation fee. 

If you book a consultation and treatment appointment but decide not to proceed with treatment on the day, your booking fee may be retained as the consultation fee. 

If you are deemed unsuitable for treatment, your booking fee may be retained as the consultation fee or forfeited where pre-screening, consent forms, medical disclosure, or booking requirements have not been completed accurately or within the required timeframe. 

 

6. Consent Forms 

Consent forms are required to be completed prior to commencing treatment. 

Consent forms may be sent at the time of booking and we recommend completing them before arrival to allow your appointment to run smoothly. 

If you are unable to complete your forms beforehand, we recommend arriving 5-10 minutes early to complete them in clinic. 

Delays in completing consent forms may result in a shortened appointment, treatment being postponed, or the appointment being cancelled if there is insufficient time to proceed safely. 

By completing our consent forms, you acknowledge that you understand the nature of the treatment, the potential risks, side effects, limitations, aftercare requirements, and that treatment outcomes vary between individuals and cannot be guaranteed. 

 

7. Medical Disclosure 

Patients are responsible for providing accurate, complete, and up-to-date medical information before treatment. 

This includes, but is not limited to, current medications, allergies, medical conditions, pregnancy or breastfeeding, recent illness, dental treatment, vaccinations, surgery, previous cosmetic treatments, skin treatments, cold sore history, and any other information that may affect treatment suitability. 

Failure to disclose relevant information, or providing false, incomplete, or misleading information, may result in treatment being declined, postponed, or cancelled. 

La Belle Cosmetics cannot be held responsible for treatment outcomes, reactions, complications, or dissatisfaction that may arise where relevant medical or treatment information has been withheld or inaccurately provided. 

 

8. Pricing, Payment & Treatment Availability 

Some treatments require an in-person consultation before pricing can be confirmed. 

Due to Australian therapeutic goods advertising requirements, pricing for certain medical aesthetic treatments cannot be provided online, by direct message, or before a consultation where doing so may be considered advertising a prescription-only treatment or therapeutic good. 

Where pricing can be provided, it is intended as a general guide only. Final treatment pricing is confirmed during consultation and may vary depending on the treatment area, dosage, product required, clinical complexity, treatment plan, and practitioner recommendation. 

Where treatment is suitable and time allows, treatment may be performed on the same day as your consultation. 

If treatment is deferred, your booking fee may be transferred to your next confirmed appointment, provided the required notice periods and booking terms are followed. 

All treatment fees are payable in full on the day of your appointment. Where a booking fee has been paid, this will be deducted from the total treatment cost where applicable.

 

9. Appointment Intervals & Treatment Scheduling 

Some treatments require a course of appointments, review appointments, or specific treatment intervals. 

Recommended timeframes will be discussed by your practitioner where relevant. These timeframes are provided as a guide and may vary depending on your treatment plan, individual response, healing, and clinic availability. 

It is the patient’s responsibility to book recommended appointments, reviews, and ongoing treatments in advance to avoid disappointment. 

While we will always do our best to accommodate appointment requests, availability cannot be guaranteed, particularly during busy periods or where appointments are requested at short notice. 

La Belle Cosmetics is not responsible for delays in treatment progress, treatment intervals, or review timing where appointments have not been booked in advance or where the patient is unable to attend available appointment times. 

Additional treatment, review appointments, or changes to a treatment plan may incur separate fees. 

 

10. Age Requirement 

La Belle Cosmetics does not perform medical aesthetic treatments on anyone under the age of 18, regardless of parental or guardian consent. 

Photo identification may be requested prior to treatment. 

If you are unable to provide valid identification when requested, treatment may be declined. 

 

11. Children-Free Clinic Policy 

To maintain a safe, calm, and controlled clinical environment, children under 16 are not permitted in the clinic. 

Children cannot wait in reception, accompany patients into treatment rooms, or be left under the supervision of our team at any time. 

If you arrive with a child, your appointment may be cancelled or rescheduled and your booking fee may be forfeited. 

This policy is in place for the safety of children, patients, practitioners, and the wider clinic environment. 

 

12. Guests & Accompanying Persons 

To maintain patient privacy, safety, and a controlled treatment environment, only the patient receiving treatment is permitted in the treatment room unless otherwise approved by the practitioner. 

One accompanying person may be permitted in the treatment room at the practitioner’s discretion, where appropriate. 

Additional guests, friends, or family members may be asked to wait outside the treatment room or leave the clinic if the environment becomes crowded, distracting, or unsuitable for treatment. 

Treatment may be declined, postponed, or cancelled if the practitioner determines that the presence of another person compromises patient privacy, safety, concentration, or the clinical environment. 

 

13. Illness, Skin Conditions & Treatment Timing 

Please contact the clinic prior to your appointment if you are feeling unwell, have an active infection, active cold sore, skin irritation, recent illness, or have recently commenced antibiotics or other medication. 

Treatment may need to be postponed where it is not clinically appropriate to proceed on the day. 

If relevant information is not disclosed prior to your appointment and treatment cannot proceed, your booking fee may be forfeited or retained as the consultation fee. 

 

14. Clinical Photography 

Clinical photography is required for treatment documentation, clinical records, compliance, and patient safety. 

These images form part of your confidential medical record. 

Separate consent will always be sought before any clinical images are used for marketing, education, social media, or any purpose outside your private clinical record. 

If required clinical photography is declined, treatment may be unable to proceed. 

 

15. Reviews, Adjustments & Follow-Up Appointments 

Some treatments may require a review appointment or further treatment to achieve the desired outcome. 

Any recommended review, adjustment, or additional treatment will be discussed with you in advance. 

Complimentary reviews or adjustments, where applicable, are only available within the recommended review period and are subject to clinical assessment. 

Additional treatment may incur separate fees depending on the treatment performed, time elapsed, clinical findings, patient availability, adherence to aftercare, and practitioner recommendation. 

 

16. Aftercare Responsibility 

Aftercare plays an important role in treatment outcomes. 

Patients are responsible for following all aftercare instructions provided by their practitioner, including any product, activity, or timing recommendations. 

Failure to follow aftercare advice may affect your result and is not grounds for a refund or complimentary re-treatment. 

 

17. Refund Policy 

Treatment outcomes vary between individuals and cannot be guaranteed. 

We do not offer refunds for change of mind, individual treatment response, or dissatisfaction with results where the service has been provided appropriately. 

Refunds are not provided where dissatisfaction is related to expected treatment limitations, normal healing, individual response, failure to follow aftercare, delays caused by the patient’s own availability, failure to book recommended appointments in advance, or inaccurate or incomplete information provided prior to treatment. 

Booking fees are non-refundable, but may be transferred to a future appointment for up to six months where the required cancellation notice and booking terms have been met. 

Gift cards are non-refundable and cannot be exchanged for cash. 

Nothing in this policy limits your rights under Australian Consumer Law. 

 

18. Treatment Packages & Prepaid Courses 

Day packages must be redeemed in full on the scheduled date and cannot be split across multiple appointments or shared with another person. 

Prepaid treatment courses must be paid in full prior to commencement and are non-refundable for change of mind. 

Prepaid treatments are valid only for the service purchased and cannot be transferred to another person. 

Please ensure you are ready to commit to the recommended treatment plan before purchasing a package or prepaid course. 

 

19. Gift Cards 

Gift cards are valid for three years from the original purchase date. 

Gift cards cannot be redeemed for cash, either in part or in full. 

Any remaining balance will stay as a credit and may be used towards eligible treatment services or retail products available in clinic. 

Lost or stolen gift cards cannot be replaced. 

Promotional or complimentary gift cards may be subject to specific terms, including shorter validity periods, where permitted by law and clearly stated at the time of issue. 

 

20. Retail Products 

Retail products cannot be refunded or exchanged for change of mind. 

Products that are faulty or not as described will be handled in accordance with Australian Consumer Law. 

 

21. Promotions & Offers 

Promotions, discounts, packages, or offers cannot be combined unless otherwise stated. 

Promotional pricing cannot be retrospectively applied to previous bookings or purchases. 

All promotions are subject to availability and may be withdrawn or amended at any time. 

 

22. Privacy & Payment Security 

All personal, medical, clinical, and payment information is handled with care and stored securely. 

By booking with La Belle Cosmetics, you consent to the collection and use of your personal information for the purpose of managing your appointment, assessing treatment suitability, maintaining clinical records, processing payments, and communicating with you about your booking. 

Your information is handled in accordance with applicable Australian privacy and data-protection requirements. 

 

23. Consent for Communication 

By booking an appointment with La Belle Cosmetics, you consent to being contacted by phone, SMS, or email regarding appointment confirmations, reminders, pre-screening, consent forms, follow-up care, and clinic updates. 

It is your responsibility to ensure the contact details provided are accurate and up to date. 

Failure to respond to required communication, including pre-screening or appointment confirmation, may result in your appointment being released or cancelled. 

 

24. Website Information 

Information provided on our website, social media, booking platform, or marketing material is general in nature and does not replace an in-person consultation. 

Due to regulatory requirements, some medical aesthetic treatment information, pricing, terminology, and recommendations may only be discussed during a consultation with a practitioner. 

Treatment suitability, pricing, and recommendations can only be confirmed after consultation. 

La Belle Cosmetics may update treatment information, pricing, availability, and clinic policies at any time. 

 

25. Force Majeure 

If unforeseen circumstances beyond our control occur, including natural disasters, illness, pandemics, government restrictions, power outages, staff illness, or other events that affect clinic operations, appointments may need to be rescheduled. 

In these circumstances, booking fees will remain valid for future use. 

 

26. Right to Refuse Service 

La Belle Cosmetics reserves the right to refuse treatment or service where appropriate.

We may refuse treatment, cancel an appointment, or restrict future bookings for any person who is abusive, aggressive, threatening, disruptive, disrespectful, under the influence of drugs or alcohol, unwilling to comply with clinic policies, unwilling to follow medical advice, or where the clinic determines it is not appropriate to continue providing services. 

La Belle Cosmetics may also restrict or prohibit a person from attending the clinic where necessary to protect patients, staff, practitioners, or the clinic environment. 

 

27. Complaints & Dispute Resolution 

We are committed to addressing all concerns promptly, respectfully, and fairly. 

If you are dissatisfied with any aspect of your experience, please contact us directly so we can review the matter and work towards an appropriate resolution. 

Where a resolution cannot be reached, the matter may be referred to an independent mediator or the relevant regulatory body.
